How to Clean and Verify Your Email List Before You Send a Single Campaign

Clean your list before you send: a list health check with duplicates removed, role-based addresses reviewed, verification run, catch-alls in small batches and bounce rate under 2%

A list with bad addresses does damage before anyone reads a word. High bounce rates tell inbox providers you aren’t careful about who you email, and your domain pays for it. If you’re already seeing placement problems, a poor list is one of the first things to rule out.

Why List Quality Matters

  • Bounces hurt sender reputation
  • Spam traps can land you on blacklists
  • Wrong contacts waste sending volume
  • Old data means wrong names, wrong roles, and wrong companies

B2B data goes stale because people change jobs. A list that was accurate last year will have gaps today.

How to Clean Your List

Six steps to a clean email list: remove obvious problems, review role-based addresses, run a verification tool, handle catch-alls carefully, check the contact is current, keep suppression lists

1. Remove obvious problems. Delete duplicates, rows with blank emails, and addresses with typos such as “gmial.com.”

2. Remove role-based addresses. Addresses like info@ or sales@ can reach shared inboxes and tend to perform poorly for personal outreach.

3. Run it through a verification tool. Services such as ZeroBounce and NeverBounce check whether an address is valid, risky, or likely to bounce. Verify right before you send, since results go out of date.

4. Handle risky addresses carefully. “Catch-all” domains accept any address, so verification can’t confirm the mailbox exists. Send to these in small batches and watch the results.

5. Check the contact is still relevant. A valid email at a company the person left is still a wasted send. Confirm role and company where you can.

6. Keep suppression lists. Anyone who unsubscribed, bounced, or complained should never be emailed again.

Keep Bounce Rates Low

Many senders aim to keep bounce rates under about 2%. Treat that as a working target. If you see a spike, pause and investigate before sending more. A clean list matters most while a new domain is warming up, since early bounces do the most harm.

Keep the List Healthy Over Time

  • Re-verify lists before every large campaign
  • Remove hard bounces immediately
  • Refresh contact data from fresh sources
  • Track which sources produce the cleanest data

Quick Checklist

  • Duplicates and typos removed
  • Role-based addresses reviewed
  • Verification run before sending
  • Catch-all addresses sent in small batches
  • Suppression list maintained

Closing

Clean data is the cheapest way to protect deliverability. It also makes personalization possible, since you can’t write a relevant opening line from a record that’s missing the basics.
